Job Slots in the Jobs/Slots Calendar Tool

Job slots show with a color coded "thermometer" along their left side indicating how complete they are.

People whose assignment in a job slot has a status other than Normal or Pending approval don't count towards a slot's fill level. Assignments of more than one person, e.g. a team, count as more than one person when determining if the slot is full or not, but they only show once on the listing of people. When you've clicked on a job slot, on the lower-right side of the screen you'll see the Volunteers panel. From here you can work with the individuals and their current assignment by right-clicking on a person.

Creating new job slots

Create a new job slot by right-clicking on the grid and selecting Create job slots and then selecting the job, or by dragging a job from the listing of jobs on the right side onto the grid. See Create Job Slots for more specifics on creating new job slots.

Working with existing job slots

Edit an existing job slot with the mouse by clicking on it and dragging it to a new start date/time and/or location, or resizing the top or bottom of it to change its start time or duration. Right-click on a job slot to bring up a menu of tools for that job slot:

Any changes made here affect only this job slot, and no others.

This and future ones like it

Changes you make affect this job slot and all other identical ones like it in the future. VSys will prompt you, before you make any changes, telling you how many future slots would be changed.

This and future ones like it, but only on specific weeks

Changes you make affect this job slot and all other identical ones like it on specified weeks in the future. VSys will prompt you, before you make any changes, telling you how many future slots would be changed.

Extend it into the future

Extend this job slot out the calendar using the same rules used to create it.

 

Remove slot from schedule

Just this one

Removes this job slot. If there are any assignments within this slot, deletes them as well.

This and future ones

Removes this job slot and all others like it in the future, and if there are any assignments within this slot or its successors, deletes them as well. VSys will prompt you with the number of future slots that would be affected.

For a range of dates

Removes the job slot, and any assignments within, between two specified dates. This may be restricted to specific days of the week.

 

 

Assign a volunteer

Automatically find someone to assign

Search for people who have assignments for this job, past hours for it, or have it as a current job association. Select one or more of these criteria, along with a time period, then drag and drop people from that list onto the job slot.

Assign volunteer (by name)

Opens the Person lookup tool to let you find someone by their personal data. Click on them to add them to this slot.

Assign volunteer (using your own criteria)

Shows the advanced person lookup tool where you can use any number of your own criteria, including lists and other filters, to search for people then drag them onto this job slot.

 

 

See tracked changes

Tracked changes will give the history of changes to this slot. If security is enabled it will indicate the user who made the change. (Only available if tracing is enabled.)

View job setup

Read-only access to the job definition and setup.

Transitions

See changes made to individual aspects of this job slot, who made them and when.
