This timeline assumes a conversion of VolunteerWorks data into VSys One, which is a largely automated process with many options. For other conversions the process may take substantially longer depending on the source data. If no conversion is needed this timeline can be compressed substantially.
Week 0
Contract signing
Initial needs analysis, conference with IT staff to arrange database server access and plan workstation/kiosk rollout
Welcome letter, installation key and serial number generated, sent to customer electronically or by mail
If requested by the customer, schedule Go-Live and on-site training (done as early as possible to minimize travel expenses)
Week 1
Initial transfer of customer data to Bespoke by e-mail, website, FTP or other means. Bespoke has a custom tool for extracting, compressing and encrypting the necessary VolunteerWorks data.
Conversion data analysis by Bespoke, querying of customer staff on the usage of various data elements
Week 2
Test installation at customer site by customer to validate database server/infrastructure setup, make IT staff comfortable with the application installation and rollout process.
Send sample data conversion to customer
Complete customer testing of converted data
Week 3
Additional sample data conversion(s) to customer
Final customer testing of converted data
Week 4
Go-Live at customer site (on-site or via web – GoToAssist/GoToMeeting/Citrix/VNC)
If doing an overnight transfer from existing system, final conversion of customer data
On-site training (optional)
Customer manual conversion cleanup
Week 5+
Phone support available for questions, customization, report design and automated data updates where needed.
