Slot calendar reports are the opposite of Assignment calendars reports in that they produce a calendar of places where you need people to work as opposed to who you have assigned to work.
Slot calendar reports become an RTF file which you can open and print in Microsoft Word or a PDF file that you can print. Why? This gives great flexibility in allowing report rows to cross page boundaries. This version grows and shrinks each row as needed for them to fit their data. (If you tell VSys to make a PDF file here, it will still make an RTF file but then will automatically convert it to PDF for you.)
Use this report:
When you want a calendar of job openings
For a calendar that can be opened and edited in a word processing program.
Steps in this task
Open the Slot calendar link from the Reports panel, either globally or within a project.
If the Select saved report window opens, choose the saved or built-in report you would like to use and click Select. Or click on the Load settings link under Tools to bring up a list of options.
On the Settings panel, enter a Report header as desired.
Choose the fields to be printed: Start time, Duration, Finish, Job, Job group, Project, Location, Supervisor, Comments, Count required, Count assigned, Count needed, Volunteer names.
Select how the calendars should page break.
Filter on Slot states: Empty, Partially filled, Filled or Overfilled.
Select the calendar style, Weekly view or Monthly view and the font size used in each calendar cell.
Choose how volunteer names should be formatted, along with the font size to be used.
Select any holidays you want to print on the calendar.
Choose first and last slot dates to show, as well as any days you don't want to print.
Add any filters on slot start time.
If running this report globally (from outside a project), check Include project slots to also include slots made from within projects. Running this report within a project will only include slots for that project.
Set any jobs, locations or supervisors filters for your slots. Note these filters are not available if you run this report globally and check Include project slots, since the locations and jobs will vary from project to project.
Choose to run the report in landscape (wide) mode or portrait (tall).
Optionally set any text to be shown at the bottom of each printed page.
Set your Output options for the file to create. VSys can make an RTF or PDF file here, it can't print directly to your printer.
Click Run to run the report.
Use the links to open the file, e-mail it directly, or delete it. Opening the file brings it up in Microsoft Word or your PDF reader.
