VSys Web Synchronization

The synchronization process moves data from your local VSys database (options, news, and application layouts) to the web database, and downloads completed applications and hours from the web database to your local database. You'll probably run this process once per day to get the completed applications downloaded. Doing it more often will not cause any problems. From the VSys Web panel select Synchronize with the VSys Web database.

Values set under Web Settings are pushed to the web database.

Messages/news

News and e-mails from the application processing tool are pushed to the VSys Web site. Note these e-mails are not immediately mailed. You must use the Send Pending Web Messages tool to do this after the synchronization process is complete.

Application layouts

New and changed application form layouts are pushed up to VSys Web.

Volunteer hours, assignments and mandates

Hours, assignments and mandates for all volunteers who have web user IDs. These are read-only to the volunteers online and only for their reference.

User IDs

Newly-created and updated volunteer web user IDs will be pushed up to VSys Web to allow these individuals to sign in.

Completed applications

Applications which volunteers have filled out online (and where the activation e-mail link has been clicked, if required) are downloaded to the local database for processing.

Volunteer-entered hours

If you allow your volunteers to enter hours online, this downloads them into VSys for approval and posting.

After selecting the values to be synchronized, click the Run button. VSys will connect to the web database and move the appropriate data back and forth to keep the databases up-to-date.

You can also use a Scheduled Task to run this process on an automated basis.
