To your volunteer application, add the reference check certification fields that you want the volunteer to complete. Use the fields Background reference check XXX (always create #1), Background reference check XXX (always create #2), etc. This forces the application to create one or more new reference check certifications for the volunteer rather than editing any existing ones.
For each reference you're requesting,
Place the field Background reference check (always create #n) Result on the application. Set its default value to Not yet contacted by right-clicking on the field and clicking Set default value. Right-click again on the field and check Hidden in VSys Live. Together these force the new certification to have a specific value in this field but make the field invisible to the volunteer.
Place the field Background reference check (always create #n) Method on the application, again making it hidden. For the scheduled task that generates the e-mails to the references to go out without being held for a human to release, set the default value for this to Email. If you want to decide which should be sent and manually trigger them, set the default value to Held. This prevents the mail merge which generates e-mails to the reference from processing this reference check. When you then change Method in the certification to E-mail and save the record, then the reference check can be processed when the appropriate scheduled task runs.
Place the field Background reference check (always create #n) E-mail on the application. Right-click on it and set it to Required. Right-click again and click Validation --> E-mail address; this ensures that only a valid e-mail address can be entered. If you do not capture the reference’s e-mail address, VSys will be unable to send the reference the e-mail link to complete their results!
If you include the field Background reference check (always create #n) Phone, ensure that you right-click on it --> Validation --> North American phone number. Optionally make it required.
If you have more than one reference check on the application, repeat these for all of them.
