Index Update Tool

Periodically, internal database indices get out of date and need to be rebuilt. Use the Index update tool to update various lookup indices within the database. This tool can also be run as a Scheduled task.

The Index update tool should be run in full every three days to ensure that your lookup indices and other values are up-to-date.

When to use this tool

Be sure to run the Index update tool in the following instances:

• after upgrading your version of VSys
• after running the Interactive File Importer (IFI) in VSys
• after restoring data from a backup
• after any changes to the name lookup rules
• after changes to availability rules in system preferences.

Steps in this task

1. From the VSys One home screen and the Administrator tools panel, click Index update.
   
2. All of the checkboxes listing the actions to be run are checked. If there are any that you specifically do not want to run, de-select them.
   Items which show in red are ones that have never been run or which have not been run in the last thirty days.
3. Click the Run button.

The update may take some time depending on how many records of various types are in the database. When complete, VSys gives you an on-screen report showing the number and types of records it needed to update.

Some - but not all - index update tools can be disabled. For example if you don't use training in VSys, you could disable the "Training automatic hours crediting" tool by right-clicking on it here and selecting Disable.
