The RTF version of the Assignment Calendars tool doesn't produce a printed report: instead it makes an RTF file which you can open and print in Microsoft Word. Why? The printed Assignment Calendars report doesn't have rows that are flexible, that is: they don't grow when their content is long, and they don't shrink when it's small. This results in rows which can get cut off, or which take up more space than they need to. This version does not do that, instead it grows and shrinks each row as needed for them to fit their data, allows weeks and months to cross page boundaries, and never cuts off any assignments.
Steps in this task
Click on the Assignments calendars (RTF) link from the Reports panel, either globally or within a project.
Choose the fields to be printed: Start time, Duration, Finish, Job, Job groups, Name, Team name, Delegation, Project, Location, E-mail, Phone, Supervisor, Comments, Volunteer count and Status.
Pick the way to display each volunteer's name: Doe, John A or Doe, J A or Doe, John or John A Doe or J A Doe or John Doe.
Select any number of fields to group the calendar months by. These will serve as page breaks.
Select the calendar style, Weekly view or Monthly view and the font size used in each calendar cell.
Choose first and last assignment dates to show, as well as any filters on assignment start time.
If running this report globally (from outside a project), check Include project assignments to also include assignments made from within projects. Running this report within a project will only include assignments for that project.
Set any jobs and locations filters for your assignments. Note: these filters are not available if you run this report globally and check Include project assignments, since the locations and jobs will vary from project to project.
Choose any filters for assignment status.
Optionally filter to just people on specific lists.
Choose to run the report in landscape (wide) mode or portrait (tall).
Select a file to create: remember that VSys makes an RTF file here, not a printed document.
Click Print to run the report.
Use the links to open the file, e-mail it directly, or delete it. Opening the file brings it up in Microsoft Word if you have that installed on your machine.
