This report shows job assignments in a monthly or weekly format. For each assignment, you can specify which fields for that assignment are displayed in each date box. Use this report:
For a schedule calendar to post in an office at a site
To see an overview of staffing during a given time period for a location
To send everyone in a department a master schedule.
VSys dropped support for the non-RTF/PDF assignment calendar reports in version 3.0: the new ones are much more flexible and powerful. You still can, however, load the older reports in this tool and the new tool will use most of their settings.
Steps in this task
From the Reports panel click on Assignments calendar under Assignments.
On the Settings panel enter a Report header and/or a Report footer to be printed on each page of the report.
Choose the fields to be printed: Start time, Duration, Finish, Job, Job (short), Job group, Name, Team name, Delegation, Project, Location, E-mail, Phone, Supervisor, Comments, Volunteer count, Status, Person type, Volunteer type, Group, Day of the week or Custom Field. If you choose to add a custom field, an additional menu will appear for you to select the field you want to add.
Choose to sort and group the information in each day by Job, Job group, Team or Name.
Select any number of fields to group the calendar months by. These will serve as page breaks.
Select the calendar style, Weekly view or Monthly view and the font size used in each calendar cell.
Pick the way to display each volunteer's name: Doe, John Aor Doe, J AorDoe, JohnorJohn A DoeorJ A Doe orJohn Doe.
Set the font size to be used.
Choose first and last assignment dates to show, as well as any filters on assignment start time.
If running this report globally (from outside a project), check Include project assignments to also include assignments made from within projects. Running this report within a project will only include assignments for that project.
Set any jobs and locations filters for your assignments. Note these filters are not available if you run this report globally and check Include project assignments, since the locations and jobs will vary from project to project.
Choose any filters for Assignment status.
Optionally filter to just people on selected lists.
Select people with any status you want to exclude.
Select any holidays you want to print on the calendar, plus any days to be excluded.
Choose to run the report in landscape (wide) mode or portrait (tall).
Optionally select a logo image to be included at the top of every page.
Under Output file (on the left side), name the file to be created: remember that VSys makes an RTF or PDF file here, it can't send it directly to your printer.
Click Run to create the report.
Use the links to open the file, e-mail it directly, or delete it. Opening the file brings it up in Microsoft Word if you have that installed on your machine.
